Which LinkedIn Outreach Tool Should You Choose?

Expandi, Waalaxy, PhantomBuster or Salesbot? Choose a LinkedIn outreach tool based on MCP, AI personalization, CRM context and team workflow.

Which LinkedIn outreach tool should you choose: a salesperson comparing outreach automation and CRM workflows

Which LinkedIn Outreach Tool Should You Choose?

Which LinkedIn outreach tool should you choose when Expandi, Waalaxy, PhantomBuster and other products can look very similar at first glance? Start with your workflow, not a feature checklist. A solo consultant, an agency with several sending accounts and a B2B team that needs AI personalization, CRM context and MCP for Claude, ChatGPT or Cursor will not necessarily choose the same tool.

This guide also compares Salesbot, our own product, openly. It does not try to crown a universal winner. Its purpose is to help you shortlist a LinkedIn outreach tool based on your operating model, integrations and the level of control you need over messages sent to prospects.

Pricing note: The prices and feature ranges below were checked against public provider pages on August 29, 2026. Pricing, limits, taxes and availability can change, so check the current plan before purchasing.

Five questions to ask before choosing a LinkedIn outreach tool

1. Does the workflow fit how your team sells?

Start with the work that happens around a campaign: selecting leads, researching accounts, drafting messages, reviewing outreach, handling replies and recording next steps. The best tool is the one your team can operate consistently without losing context between those stages.

Salesbot is our product and is designed for B2B teams that want campaigns, conversation context, AI message drafts and approvals in one controlled workflow. If your priority is a long-established specialist environment for LinkedIn sequences, Expandi or Waalaxy may be a better fit.

2. Is MCP a genuine requirement or a nice-to-have?

Model Context Protocol (MCP) becomes useful when an AI assistant has precisely scoped access to your sales workflow: it can find leads, use context, prepare a message draft, create a campaign or return a report. Chatting with an AI tool over an exported CSV is not the same thing.

If MCP is a requirement, verify four things with every provider:

  1. Which clients are supported, such as Claude, ChatGPT or Cursor.
  2. Which concrete actions and data are available through MCP.
  3. How API keys, permissions and client-account separation work.
  4. Whether sensitive steps, such as sending a message or connection request, can remain subject to human approval.

The Salesbot MCP server is designed to work with leads, campaigns, inbox data and CRM context inside Salesbot. It is not an official LinkedIn integration, and it is not a reason to remove human oversight. PhantomBuster currently lists MCP in its paid plans as a way to control automations from AI tools; compare the exact scope and limits on its current pricing page.

3. How much outreach personalization do you want to automate?

Automation should save time on research and a first draft. It should not become permission to send the same message to hundreds of people. Look for a tool that ties personalization to useful context: a person’s role, company, segment, profile content or conversation history.

In Salesbot, AI can prepare personalized drafts from lead context and a sales rep can approve or edit them. That is useful for teams that care about outreach quality and brand voice. Expandi is strong in configuring LinkedIn sequences, while Waalaxy emphasizes ready-made sequence templates. PhantomBuster is a better match when you want to assemble and maintain custom data and automation steps yourself.

During a demo, do not ask only, “Does it have AI?” Ask: Where does the AI get its inputs? Can I review the draft before it is sent? Does the workflow stop after a reply?

4. Is CRM and reply handling as important as sending?

Most sales value appears after an invitation is accepted and the first reply arrives. Compare the inbox, lead tagging, task assignment, stop-on-reply behavior, CRM export and reporting—not only the number of steps in a sequence.

Waalaxy lists CRM synchronization, team collaboration and, depending on the plan, inbox features. Expandi and other specialist tools commonly connect to an external CRM. Salesbot combines campaigns, conversations and CRM-style contact work in one workflow. If your HubSpot, Pipedrive or proprietary CRM is already well established, the integration quality may be more important than another built-in contact database.

5. How many accounts and people will use the tool?

A founder with one profile has different needs from an agency managing 20 client accounts. Agencies should examine workspace separation, permissions, exports, campaign oversight and costs per active account. A solo user often benefits more from a quick start, strong templates and a clear way to work through replies.

Also set conservative operating rules, respect responses and follow the platform rules that apply to your account. No tool can guarantee that an account will never be restricted.

Comparison: Expandi, Waalaxy, PhantomBuster and Salesbot

Expandi: for specialized LinkedIn sequences

Expandi is a well-known cloud tool focused on LinkedIn campaigns. It can suit teams that need detailed work with connection requests, messages, InMails and follow-up steps in English. Its public pricing page lists a monthly plan at USD 99 per account, with a discount for annual billing. See the current details on Expandi Pricing.

Consider Expandi if you want a mature specialist environment for LinkedIn sequences and do not need built-in CRM context as the central part of your workflow. Expandi currently mentions early access to MCP on its public pricing page, so verify availability and scope for your account.

Waalaxy: for a fast start and straightforward sequences

Waalaxy is a reasonable candidate for beginners and smaller teams that want ready-made sequences, follow-ups and a simple campaign launch. Its public pricing lists Pro from EUR 19, Advanced from EUR 49 and Business from EUR 69 per user per month; plans differ in capacity, API access and multichannel features. See Waalaxy Pricing for the current details.

Consider Waalaxy if onboarding speed and a standard LinkedIn workflow are your priorities. If you need deeper AI-agent work, CRM context or a more controlled approval process, compare it with other options as well.

PhantomBuster: for data, enrichment and custom automations

PhantomBuster is not only a LinkedIn outreach tool. It is a broader automation platform for data enrichment, exports, custom workflows and work across services. Its pricing is linked to automation capacity, run time and credits rather than simply one sending account. Its public pricing lists Start from USD 56 per month with annual billing; verify the current plan and limits.

Consider PhantomBuster if someone on the team can design and maintain custom workflows. For a team that primarily needs a ready-made LinkedIn sequence and a simple sales inbox, it may be broader than necessary.

Salesbot: for controlled AI personalization and MCP workflows

Salesbot is our tool, so treat this section as transparent product information, not an independent test. We build it for B2B teams that want to work from lead and conversation context, review AI-generated outreach and bring AI assistants into a controlled workflow through MCP.

Salesbot Pro is CZK 590 per month excluding VAT, or an effective CZK 500 per month on annual billing of CZK 6,000. International pricing is EUR 29 per month or EUR 22 per month on annual billing of EUR 264. The plan includes a 14-day trial. See the current scope on the Salesbot pricing page.

Consider Salesbot if you want AI drafts that can be approved, CRM-style conversation work and MCP as a practical part of the sales workflow. If you need a broad automation platform or an agency operation with many senders, compare PhantomBuster and specialist agency tools too.

How to choose without a long pilot

Take two or three tools from your shortlist and run the same small test in each:

  1. Define one specific ICP segment, such as 50 relevant companies.
  2. Use the same value proposition and a comparable sequence.
  3. Have a person review every draft.
  4. Measure not only accepted invitations, but reply quality, team time and the number of meaningful sales steps.
  5. Check whether, after a reply, the sales rep knows what to do next and where the context is stored.

After one or two weeks, do not choose on the highest activity count. Choose the tool in which your team can consistently create relevant outreach, follow up on replies and keep the pipeline orderly.

Conclusion: the best tool fits your workflow

Waalaxy can be a good option for a straightforward start. Expandi can suit specialized LinkedIn sequences. PhantomBuster can fit data-heavy and custom automation work. And if your priorities are AI personalization under sales-rep control, CRM context and MCP for AI assistants, try Salesbot free for 14 days.

Frequently asked questions

Which LinkedIn outreach tool is best for a growing B2B team?

It depends on the workflow. If controlled AI personalization, CRM context and MCP for AI assistants matter, Salesbot is worth evaluating. Waalaxy can fit straightforward sequences, while Expandi is a candidate for specialized LinkedIn campaigns.

Do I need MCP for LinkedIn outreach?

Not always. MCP is valuable for a team that wants to give an AI assistant controlled access to leads, campaigns, CRM context or message drafts. If you only want to run a simple sequence manually, an inbox, CRM sync and ease of use may matter more.

Should AI be allowed to send messages without approval?

Usually not for new campaigns. Start with AI as help for research and drafts, set limits and retain human approval for sensitive actions. The right decision depends on your team’s experience, the offer and the audience.

Is PhantomBuster the same as a LinkedIn outreach tool?

Not exactly. PhantomBuster includes LinkedIn workflows, but its main strength is broader automation, data and custom processes across platforms. If you need a simple sales process from campaign to reply, compare it with tools focused directly on LinkedIn outreach.
